Notification (Alert) List

You can create a notification (alert) list in the 1KA tool.

A notification list is a form where respondents sign up by entering their personal data so that you can keep them informed about topics that are of interest to them.

 

Form Creation

There are two ways to create a notification list:

  1. Copying from the library
    In the 'My Surveys' directory, click on the 'Library' tab at the top. In the 'Public Surveys' > 'Forms' folder, copy the 'Alert List' template.
     
  2. Creating a form
    In the 'My Surveys' directory, click on the 'Create Survey' button. A new window will open where you enter the internal name that will appear in your survey directory and the published name that respondents will see. Under the 'survey type' section below, select 'Form'.

    In the 'Questionnaire' tab, insert any question types you want. If you want to use them for notifications, you must mark them as system variables.

If you also want to send a notification to respondents about a successful registration, you should select the option 'Respondent' under 'Quick notification settings' (on the right side of the questionnaire) or in the 'EDIT' - 'Settings' - 'Notifications' - 'Completed survey' tab. This way, the system variable email will appear in the questionnaire.

In both ways of creating a notification list, some special options appear on the right-hand side:

Under 'Quick notification settings', you can set who will receive a notification when someone subscribes to the mailing list. You can select the author of the survey, additional recipients and the respondent. If you click on 'Advanced Settings', you will be taken to the 'EDIT' - 'Settings' - 'Notifications' - 'Completed survey' tab. See the Notifications manual for more information;

Once you have finished editing, it is important to activate and then publish the form. You can share the URL to the form, or you can also include it on your website.

 

Sending Notifications

The easiest way to send notifications to the list recipients is to use your default email program (e.g. Gmail, Outlook, Thunderbird, etc.), various mailing platforms (e.g. Squalo mail) or the 1KA system to send email invitations. Sending email invitations via the 1KA system is available for users of the 3KA package for individuals, and for users of the business packages for groups.


Some of the functionalities described are only available for users of the 3KA package for individuals, and for users of the business packages for groups.
